B2 MEDIA (“we”, “us”, “our”) respects your privacy. This policy explains what personal data we collect through b2media.co, through Repute (our review collection service at repute.so) and through the AI tools we offer under the B2 Media name, why we collect it, who we share it with, and how you can control it. We handle personal data in line with Singapore’s Personal Data Protection Act 2012 (PDPA).

1. What we collect

Information you give us

  • When you use a contact or enquiry form (on b2media.co or repute.so): your name, email address, business name, the plan or service you are interested in, and whatever you tell us in your message.
  • When you email us: your name, email address and the contents of your message.
  • If you become a client and are given a login to one of our tools or to Repute: your name, email address and login details (passwords are stored in scrambled form, not as plain text), and the information you put into the tool, such as business names, website addresses, customer names and email addresses, and reviews.

Information collected automatically

  • Your IP address, browser type, device type and the pages you visit, through our web host’s logs and through cookies and similar technologies. We may use analytics tools to understand how our websites are used.

2. Why we use it

  • To reply to your enquiry and to decide with you whether and how to provide a service or access to a tool.
  • To set up and run your login and to provide the service you asked for.
  • To contact you about your enquiry, your account and our services, including by email, where you have agreed to this.
  • To maintain, secure and improve our websites and tools.
  • To meet legal obligations.

We only use your personal data for purposes we have told you about, or that the law allows.

3. Your consent

When you tick the box or click to send an enquiry form, you consent to us using the details you give to reply to your enquiry and to contact you about it. You can withdraw that consent at any time (see section 8). Withdrawing consent does not affect anything we did before you withdrew.

4. Who we share it with

We do not sell your personal data. We share it only with service providers who help us run our business, and only as far as needed for them to do so:

  • Website hosting: our web host (Hostinger), which stores our websites, server logs and a copy of enquiries sent through our forms.
  • Email: Google Workspace, which hosts our business email, including enquiry emails sent to us.
  • Enquiry and lead handling: the software we use to build our pages and receive enquiries.
  • The software platforms that run our tools and Repute: the providers whose platforms host your login and the information you enter into a tool.
  • AI services: where a tool analyses a website or a business, or drafts a reply to a review, the text it sends for analysis is processed by AI model providers to produce your result.

We may also disclose personal data where the law requires it, or to protect our legal rights.

5. Repute: reviews and customer details

Repute is a review collection service. When a business uses Repute to ask its customers for reviews, that business decides who is asked and what is done with the reviews, and B2 Media provides the platform. In that case we handle the following only to run the service for that business, under its instructions:

  • the names and email addresses of the people it asks for reviews;
  • the reviews themselves (text, star ratings, and photos or video if the reviewer adds them), and records that a request was sent, opened or unsubscribed;
  • draft replies and summaries, if the business switches on AI features.

Reviews are private until the business approves them. The providers that run Repute for us include: the review platform that hosts the pages and stores the reviews; Postmark, which sends review request emails; Mux, which stores and plays video reviews; and OpenRouter and the AI model providers behind it, which receive review text when AI features are used. If you are a reviewer and want your review or details removed, contact the business that asked for your review, or write to us at the address below and we will pass the request on.

6. Sending data outside Singapore

Many of these providers store or process data outside Singapore. Where that happens, we take reasonable steps to make sure your data receives a standard of protection comparable to the PDPA, for example through contractual terms with the provider.

7. How long we keep it

We keep your personal data only for as long as we need it for the purposes above or as the law requires. Enquiry emails and enquiry form records are kept for up to 2 years. Account and review data is kept while the account is active and for a reasonable period afterwards; you or the business can ask us to delete it sooner. After that we delete or anonymise the data.

8. Your choices and rights

You may:

  • ask what personal data we hold about you and how we have used it;
  • ask us to correct data that is wrong;
  • withdraw your consent to marketing or other uses at any time. Every marketing email has an unsubscribe link, or you can write to us at the address below.

We will respond to requests within a reasonable time, and normally within 30 days. If a request is declined or delayed, we will tell you why. You may also complain to the Personal Data Protection Commission of Singapore.

9. Security

We take reasonable technical and organisational steps to protect personal data from unauthorised access, loss or misuse, including secure hosting, scrambled password storage and access limited to the people who need it. No online system is perfectly secure, so we cannot guarantee absolute security.

10. Cookies

Our websites use cookies to work properly and may use them to measure usage. You can block or delete cookies in your browser settings; some parts of the sites may not work as expected if you do.

11. Changes to this policy

We may update this policy from time to time. The latest version is always on this page, with its effective date at the top.
